Probationary faculty hired between March 15 and November 14 are reviewed in the spring semester and have the following deadlines for review by the SoP’s Executive Committee (ExecCom):

If a probationary faculty member is recommended for promotion by the ExecCom, his/her dossier is evaluated at the campus level either by the appropriate Divisional Committee (tenure track) or the appropriate Area Review Committee (CHS track).
Tenure track faculty
If approved by the divisional committee, the divisional committees coordinator sends a memo to the dean, copying the appropriate SoP division chair, informing them of the divisional committee’s decision. The dean indicates his/her approval by signing and returning the memo to the divisional committee’s coordinator. The probationary faculty member’s materials are then routed through the Office of the Provost, the Office of the Chancellor and finally to the Board of Regents for consideration at their June meeting. Once approved by the board, a promotion takes effect on July 1 for faculty on 12-month contracts or the first day of the faculty contract year for faculty on 9-month contracts.
CHS track faculty
If supportive of the ExecCom recommendation for promotion, the dean indicates this in a letter to the appropriate area review committee (cf. ASPP 2.07.1c). SoP CHS faculty are usually reviewed by the Biological/Medical Sciences Area Review Committee (ARC), which meets to review dossiers annually in late spring/early summer. The ARC informs the dean of their decision and forwards the dossier to the Director of Talent Acquisition and Retention (currently, this is Patrick Sheehan) at OHR. The dossier is reviewed for completeness and compliance with policy requirements. Subsequently, the Chief Human Resources Officer (currently Mark Walters) sends the dean’s recommendation and a cover letter from OHR to the chancellor for his/her review and ruling. If approved, the chancellor sends the approval letter to the employee, copying the ARC Chair, Secretary of the Academic Staff, dean, supervisor, divisional HR (currently Jenni Regan) and the workforce relations director. Once approved by the chancellor, a promotion takes effect on July 1 for faculty on 12-month contracts or the first day of the faculty contract year for faculty on 9-month contracts.
